Cashless Catering


In July 2017, Withernsea High School launched Cashless Catering.

As its name suggests, the system removes the use of cash from the food purchasing process. Instead, students pay for their meals at the till by using either their thumb print (Biometrics) or a PIN number to access funds that have been pre-paid in to their own personal account.

Funds can be deposited quickly and conveniently online by parents/ carers through ParentPay or by cash at one of two deposit machines located in school.

What do I need to do to get started?


When your child joins Withernsea High school, you will be given a consent form to authorise the use of Biometric data. Once consent is granted, your child will be registered on the system. If you choose to opt-out of the use of Biometrics, your child will be issued with a unique PIN instead.

You will also be issued with a ParentPay activation letter which will enable you to access your account to manage online top-ups.

Cashless Catering - Frequently Asked Questions


What is ‘biometric’?

Biometric is simply a method of identifying an individual person. The system uses an algorithm based scan, which reads between 50 and 130 points on the finger/thumb. It is not a fingerprint in any way, shape or form and is of use only in the Cashless System.


Are you storing my child’s fingerprints?


No.
The biometric information is stored as data (algorithm). It is impossible to reverse the algorithm to recreate a fingerprint from this data.


How does a biometric system work?


The information of a pupil or staff member, who has been biometrically registered, is stored on a secure controller within the school, which only your provider, Nationwide Retail Systems, can access with permission from the school.

Once an account is credited, the user places their finger/thumb on the Terminal Biometric Reader, which looks up their account and allows them to purchase items using only this method of identification.


How does my child register on the biometric system?


After parental consent has been granted, your child will attend a registration session where they will be required to place their finger/thumb on the Biometric Reader twice to obtain a matching template. This will only take a few seconds.

If you have chosen for your child to opt‐out of this procedure, they will be presented with a 4 digit PIN code instead


Can anyone else use my child’s account?


No
– due to the extensive security on biometric templates, no‐one will be able to access your child’s account. As a secondary precaution, a photo image is allocated to each pupil.

If your child is using a 4 digit PIN code, which someone obtains and attempts to use, the photograph shown at the terminal will alert the operator of a fraudulent sale.


What methods of payment can be used to credit an account?

Any amount can be credited to an account by way of any of the following methods. Once an account has been credited, the monies cannot be withdrawn and must be spent on the school meal services.

• Online Payments
To make a payment online, please visit www.parentpay.com

• Cash at the Revaluation Units (Deposit Machines)*
Revaluation units are sited at two different locations within the school. These can be used to top up accounts by the studentl/member of staff by placing their registered finger or thumb on the Biometric Reader; or by entering their 4 digit PIN Code followed by inserting the accepted tender: £20, £10, £5 notes or £2, £1, 50p, 20p, 10p or 5p coins. Please note that copper coins are not accepted.
* Any deliberate acts of vandalism to Revaluation Units may result in charges being passed on to parents.

• Cheques**
Cheques should be made out to Withernsea High School and have the student name and form written on the back. All cheques must be handed to the school office and must be received by 9am prior to that day’s commencement of service. Cheques received after this time will not be credited to the account until the following day.
** Any payments by cheque which are returned by your bank as having insufficient funds will incur a £10 per cheque charge to cover charges incurred by Withernsea High School from our own bank.

• PayPoint – available on request
If required, you will be issued with a PayPoint card which can be used to top up your child’s account at your local PayPoint stores. Payments via PayPoint will take up to 48 hours to be credited to the appropriate account.


How can I check the credit on an account?


This can be done by the account holder either placing their finger/thumb on the Revaluation Machine scanner, or by entering a 4 digit PIN code. The current balance will then be displayed. This can also be accessed via the schools online payment facility, ParentPay.


Can I change my child’s daily spend limit?

A default daily spend limit of £10.00 will be in place. This amount can be changed by written request to the school office.


What happens if my child’s account is not in credit?

Your child will not be able to purchase a meal unless their account is topped up. In exceptional circumstances, if this is not possible, they should contact their Head of House.


How do ‘free meal’ entitlements work?

All free meal entitlements will be entered on to the system. On a daily basis, the system will automatically allocate the appropriate accounts with the free school meal amounts. Pupils with FSM entitlement remain anonymous at all times.

Please note that any monies not spent from the daily free meal allocation will not be carried over to the next day.
